This Privacy Policy explains what personal data Variablz Academy collects through variablz.com and our courses, why we collect it, and the choices you have. It is written to meet the Digital Personal Data Protection Act, 2023.

1. Who we are
Variablz Academy, 17, Nanban Nagar, Kammiyampet, Cuddalore-02, Tamil Nadu, India (GSTIN 33ENBPR7819L1ZH) decides how your data is used. Contact us by email at support@variablz.com.
2. What we collect
When you fill in a form
Our enquiry forms (for example Register, Notify Me, Download Syllabus and Download Data) ask for:
- your name, email address and phone number
- whether you are a student, job seeker or working professional
- how you heard about us
- your preferred session and time, and the course you are interested in
- optionally, your company and a message
When you enrol
- the details above, plus your batch and your invoice and payment records (amount, date, payment reference, and GST details if you give them)
- your registered email, which we use to send class and project joining links and to verify requests such as refunds
- work you submit in the program, such as projects
We do not see or store your card, UPI or bank login details. Payments are handled by the payment or EMI provider you choose.
When you browse the website
We measure how our pages are used: pages visited, time on the page, how far you scroll, which sections you view, which buttons you click, your device type (desktop, mobile or tablet), and the website or campaign link that brought you here. We do this without cookies. To count unique visitors, we use a short code derived from your connection and browser details. It changes every day and does not identify you. We do not store your IP address in our analytics.
Like every website, our hosting provider and security firewall record IP addresses in server logs to keep the site secure.
3. Why we use it
- to reply to your enquiry and send what you asked for, such as a syllabus or batch details
- to contact you by phone, WhatsApp or email about the course you asked about
- to enrol you, run your classes and projects, and send joining links
- to send you official communication about your enrolment, which we send in writing by email from support@variablz.com
- to issue invoices, meet tax and accounting rules, and process refunds
- to improve our pages and courses, using usage figures for the whole site rather than for individuals
- to keep the website and our accounts secure
We use your data with your consent, which you give when you submit a form or enrol. We also use it where the law allows without consent, such as keeping invoices for tax purposes. You can withdraw consent at any time (see section 7). Withdrawing does not affect what we already did with your consent.
4. Who we share it with
We do not sell your personal data. We share it only with service providers who help us run the website and our courses, and only for that purpose:
- our website hosting provider (MilesWeb), which stores the website and its database
- our email delivery service, which sends confirmation and course emails
- Google Drive, where website backups are stored
- our learning platform (Edmingle), for enrolled students’ course access
- the payment or EMI provider you use to pay
- WhatsApp, when you message us or we reply there
- Google Fonts, which provides the fonts on our pages; your browser contacts Google’s servers to load them
- YouTube, when you choose to play a video. Our videos load only when you press play, using YouTube’s privacy-enhanced mode.
We may also share data when the law requires it, for example with tax authorities or in response to a valid legal order.
5. Cookies and browser storage
We do not use advertising or tracking cookies. The website stores only a few small settings in your browser:
vc_notif_dismissed: a cookie that remembers you closed the notification bar, for 7 days- a note in your browser’s storage that you have already seen or closed the offer pop-up, for that visit or that day
Our staff’s admin accounts use extra security cookies when they sign in. YouTube may set its own cookies once you play a video.
6. How long we keep it
- Enquiry details: as long as we need them to respond and follow up about your course, or until you ask us to delete them.
- Student and invoice records: for the period required by tax and accounting law (currently about six years for GST records).
- Website usage data: deleted automatically: general page analytics after 90 days, and landing-page behaviour data after 400 days.
7. Your rights
You can ask us to:
- tell you what personal data we hold about you and how we use it
- correct, complete or update your data
- delete your data, unless the law requires us to keep it, such as invoices
- stop contacting you, or withdraw your consent
- let someone you nominate exercise these rights if you die or become unable to
Email support@variablz.com from the email address you gave us. We accept these requests only by email, and we reply in writing within 30 days. If you are not satisfied with our answer, you can complain to the Data Protection Board of India.
8. Security
Only team members who need your data can access it. Staff admin accounts are protected with two-factor authentication, and sensitive student identifiers are stored encrypted. No system is perfectly secure. If a breach affects your data, we will inform you and the authorities as the law requires.
9. Children
Our courses are meant for college students and adults. If you are under 18, a parent or guardian must fill in the form or enrol on your behalf.
10. Changes to this policy
We may update this policy. The effective date at the top shows when it last changed. For important changes, we will also tell enrolled students by email.
